Texas Notaries: How to Correct a Past Entry in Your Notary Journal

Can Texas notaries update or amend an earlier entry in their notary record book (journal)?

This is a common question we hear from Texas notaries, and it’s a great one—especially considering the importance of accurate records. While Texas notary laws and administrative rules do not specifically address correcting past journal entries, notaries can follow the best practices below to make appropriate updates to a paper, bound journal.

Step 1: Create a New Journal Entry

If you notice an error or omission in a previous journal entry, start by creating a new entry that correctly reflects the facts of the original notarization. In the “Comments” section, briefly explain that this new entry was created to correct a mistake in the original entry. Include the page or entry number of the original.

Step 2: Add a Note to the Original Entry

Do not alter or cross out any information in the original journal entry. Instead, add a notation—preferably in the “Comments” field or any other blank space or area within or adjacent to that entry—that says, “This journal entry is incorrect or incomplete; see subsequent journal entry number ___ and dated ___ for corrected or complete information.”

Important Reminder

If you're ever asked to provide your record of that notarization, include both the original and the corrected entries to demonstrate a full and transparent correction.

Note: These procedures apply only to tangible (paper), bound record books/journals, not electronic ones.
